What is a meeting cost calculator?

A meeting cost calculator estimates the value of attendee time using an hourly cost. It helps compare meeting lengths and frequency. It is a planning estimate, not a measure of a meeting’s value or an accounting result.

How the result is created

Cost per meeting = attendees × average hourly cost × minutes ÷ 60. Weekly cost multiplies that by meetings per week; annual cost uses 52 weeks. Enter a fully loaded rate if you want to include employment overhead. Preparation and follow-up time are excluded.

How do you calculate meeting cost?

Multiply the number of attendees by their average hourly cost and the meeting duration in hours. Six people at $50 per hour for 30 minutes cost an estimated $150.

What hourly rate should I enter?

Use an average cost per attendee, in the selected currency. For an internal estimate, you may include salary, benefits, and overhead in that rate. The tool does not calculate those components for you.

Does this show money I could save?

It estimates the cost of attendee time. Shortening a meeting frees capacity but does not necessarily reduce payroll or other expenses by the same amount.

How is the annual estimate calculated?

The estimate assumes your entered weekly frequency continues for 52 weeks. It does not subtract holidays, vacation, or cancelled meetings.

Does changing currency convert the amount?

No. It changes the label and formatting only. Enter the hourly rate in the currency you select.
